Volunteer & Staff Guidelines

Introduction

These Volunteer & Staff Guidelines (“Guidelines”) apply to anyone serving as a volunteer, contractor, or staff member (“you”) with thedsgnjunkies (“we,” “us,” “our”), including support for events like FiDCon. By accepting a volunteer or staff role, you agree to abide by these Guidelines, as well as any other policies referenced (e.g., Code of Conduct, Privacy Policy).


1. Roles & Responsibilities

Assigned Duties: You will be provided with a description of your role, including specific tasks and responsibilities. You agree to carry out these tasks to the best of your ability, following instructions from thedsgnjunkies leadership or appointed supervisors.

Reliability & Punctuality: Arrive on time for shifts, meetings, or training sessions, and notify your supervisor promptly if you anticipate any delays or absences.

Professionalism: Conduct yourself professionally when interacting with attendees, speakers, sponsors, partners, and fellow team members. You represent thedsgnjunkies and are expected to maintain a respectful and helpful demeanor.


2. Code of Conduct & Ethical Standards

Compliance: You must follow the thedsgnjunkies Code of Conduct and treat all community members with respect, inclusivity, and fairness. Harassment, discrimination, or disruptive behavior will not be tolerated.

Ethical Behavior: You must not misuse your position for personal gain or take actions that could harm the reputation or mission of thedsgnjunkies.

Reporting Misconduct: If you witness any misconduct, harassment, or violations of our Code of Conduct, report it to your supervisor or designated contact promptly.


3. Confidentiality & Privacy

Confidential Information: During your tenure, you may have access to confidential or sensitive information about community members, event attendees, sponsors, speakers, or the organization. You agree not to disclose this information to third parties without prior written permission from thedsgnjunkies.

Data Protection: Follow all data handling guidelines provided by thedsgnjunkies. Do not collect, share, or store personal attendee data outside of approved systems or procedures.


4. Compliance with Venue & Event Rules

Venue Policies: Comply with all venue regulations, including safety rules, badge requirements, and security protocols.

Health & Safety Measures: Follow any health and safety measures implemented at events, including use of protective equipment, respecting crowd capacities, and guiding attendees as directed.


5. Communication & Coordination

Team Collaboration: Maintain open communication with your team members and supervisors. Ask questions, seek clarification, and report challenges or issues as they arise.

Feedback Loop: We encourage constructive feedback. If you have suggestions for improving processes, please share them with your supervisor at an appropriate time.


6. Use of Resources & Property

Proper Care of Equipment: If you are entrusted with equipment, materials, or property belonging to thedsgnjunkies, use them responsibly and return them in good condition. Report any loss or damage immediately.

Appropriate Representation: Do not use thedsgnjunkies brand, logos, or resources for personal projects or unauthorized purposes.


7. Compensation & Benefits

Volunteers: Unless otherwise stated, volunteer positions are unpaid. Any perks such as branded apparel, meals, or event passes are provided at our discretion.

Staff & Contractors: Compensation terms for paid staff or contractors will be set out in a separate agreement. Ensure you understand and agree to those terms before commencing work.


8. Conflict Resolution

Resolving Disputes: If disputes or conflicts arise, attempt to resolve them amicably through respectful communication. If you cannot reach a resolution, involve a supervisor or event manager for guidance.

Grievances: If you have concerns about unfair treatment, harassment, or other issues, follow the reporting procedures outlined in the Code of Conduct or contact a designated HR representative (if applicable).


9. Termination of Role

Voluntary Departure: If you need to leave your role before the agreed end date, provide reasonable notice to your supervisor.

Termination by thedsgnjunkies: We may terminate your role at any time if you fail to comply with these Guidelines, breach the Code of Conduct, or act against the best interests of thedsgnjunkies.


10. Acknowledgment

By participating as a volunteer or staff member, you acknowledge that you have read, understood, and agree to abide by these Guidelines. Your contribution is valuable, and we appreciate your commitment to maintaining a positive, productive environment that supports the goals and values of thedsgnjunkies.
